Job Description
Position Summary
Assist the Director in daily operation of a successful and nationally prominent athletics program. This includes facilities, management of equipment, scheduling, transportation, Intramurals and recreation of/for the athletic program. This position will also provide set-up and breakdown of athletic games, ensuring that event venues meet specifications, and provide for the safety and welfare of event participants and guests. The hours of this position will vary based on seasons, time of year, and athletic games and events, but will primarily be nights and weekends.
Description of Duties
Game day Operations
- As assigned, act as ‘administrator in charge’; resolve operational issues and direct staff as needed for NJCAA intercollegiate functions.
- Responsible for game day set-up and breakdown of all intercollegiate contests.
- Communicate with facilities department on lining and preparation of fields, set-up and take down of seasonal athletic equipment, overall maintenance of athletics fields and facilities as it relates to playability and safety.
- Periodic tests and checks of all athletic equipment as it pertains to game day operations.
- Locker room set-up for players, coaches, and officials.
- Coordinate needs for visiting teams and officials.
- Report any ejections, cards, technical fouls, safety issues, injuries or emergencies to the Director and/or appropriate areas immediately.
Scheduling / Transportation / Equipment
- Schedule intercollegiate athletic contests including scrimmages, conference, regional, and out of region opponents, including master schedule of all sports.
- Responsible for sending and maintaining all game contracts including confirmation, filling out respective coaches information, keeping track of games contracts needed, and all follow up.
- Develop and maintain monthly practice/athletic calendar.
- Communicate with coaches regarding their schedules.
- Communicate any and all changes of schedules through e-mail to entire athletics department and coaches.
- Confirm all intercollegiate games, times, and location with opposing school 24 hours prior to game.
- Coordinate scheduling of facilities for athletics games and practices, intramurals, and any other athletics related events with event management.
- Serve as liaison to and collaborate with High Tech High School for use and scheduling of all athletic facilities.
- Serve as liaison to and collaborate with Event Management for use and scheduling of all athletic facilities.
- Oversee department vehicle fleet, including scheduling for routine maintenance, annual inspections/registrations, filling with gas, snow removal, mileage log, issuance of keys, etc.
- Coordinate with Student Life and Activities on coordination of van usage.
- Oversee contracted charter transportation including scheduling, quotes, contracts, and confirmation with vendor.
- Assist in any charter bus quotes needed and preparation of yearly athletic charter bus bid document.
- Responsible for collection of team travel roster prior to departure.
- Responsible for the evaluation (for safety purposes), maintenance, repair and replacement of equipment for athletic programs.
- Manage relationships with current Athletics Department vendors.
- Schedule the repair and maintenance of equipment inventory.
- Assist the Assistant Director with annual physical inventory counts for all athletics program equipment, supplies, uniforms, and apparel.
- Collaborate with the Assistant Director and coaches to identify the equipment needs for assigned sports.
Facilities
- Assist in the management of the following facilities, including serving as liaison to facilities, maintenance, grounds and custodial staff and reporting/inspecting all work: Robert J. Collins Arena, Brookdale Recreation and Events Center, Brookdale Tennis Courts, Brookdale Baseball Field, Brookdale Softball Field, Brookdale Soccer Field, Brookdale Lacrosse Field, and Brookdale outdoor practice fields.
- Assist with preparing fields, courts, and other playing surfaces for all athletic practices and contests including the set-up and breakdown of all necessary equipment.
- Responsible for maintaining all playing surfaces and indoor and outdoor equipment, including scoring and timing devices.
- Ensure that building usage is in conformance with building schedule; maintain various spaces in a neat and orderly appearance.
- Ensure indoor and outdoor facilities are inspected for health and safety.
- Ensure lighting systems, scoreboards, and appropriate equipment are functioning prior to each event.
- Submit and follow up on work orders for all facility maintenance.
- Recommend requests for services to correct operational deficiencies, delivery, and removal of equipment and furnishings; lock changes, etc. for athletic facilities.

Intramurals and Recreation
- Under direction, organize, develop, and maintain comprehensive intramural and recreational sports programs.
- Monitor, engage, and grow our intramural presence on the Lincroft campus to meet the needs of our current students.
- Coordinate and plan for all intramural sports and programs, set-up all competition, leagues, and registration, and provide needed facilities, equipment, supplies, and personnel to operate programs.
- Ensure that building usage is in conformance with building schedule; maintain various spaces in a neat and orderly appearance.
- Ensure indoor and outdoor facilities are inspected for health and safety.
- Collaborate with facilities on building issues.
- Coordinate with Student Life and Activities and the Student Life Board to ensure needs of students are being met.
- Develop publicity signs and marketing strategies for intramural and recreation events to generate student participation for programs.
- Keep current and be familiar with all rules, policies, and regulations pertinent to each intramural sport conducted.
- Oversee open gym as it pertains to opening and closing, posting hours of operation, events, and set-up needs for usage.
- Develop best practices for tracking intramural and open gym participation. Collaborate with Student Life & Activities for working strategies.
- Assess needs and interests, recommend programs to be conducted, and evaluate after season ends.
Initiate, develop and direct the coordination of special events
- Develop ‘special event’ concepts through SAAC and community service initiatives with students, staff, faculty, and community groups.
- Work with Marketing and Communications in the development and distribution of marketing and promotional materials.
- Provide on-site supervision and coordination.
- Establish and maintain community relations through interaction and participation with community groups. Develop special event concepts, which will be of value and interest to these groups.
- Perform other related duties and responsibilities as assigned.
Minimum Qualifications
Education:
- Associates Degree required.
- Bachelor’s Degree preferred.
- CPR/AED certification is required within 12 months of hire and must be maintained throughout employment.
Experience:
- Two years of experience in the administration of athletic or recreational programs.
Knowledge Abilities/Skills:
- Must be able to learn and comply with NJCAA and Region XIX and GSAC regulations.
- Strong communication, interpersonal, and organizational skills.
- Ability to work in multi-project, fast-paced environment and meet concurrent deadlines.
- Ability to work well with a diverse college student population, and knowledge of their developmental and adjustment issues and needs.
- Ability to work collaboratively and to address problems through team work.
- Proven computer literacy skills at an intermediate level including an ability to utilize and apply Microsoft Office Outlook, Word, Excel, and Power Point as well as specialized software programs and computer applications.
- Ability able to work a flexible schedule (evenings/weekends).
- Valid driver’s license required.
- Local and out of state travel may be necessary.
Preferred Qualifications & Special Considerations
Knowledge of Monmouth County and its communities.
Flexible Schedule required. The hours of this position will vary based on seasons, time of year and athletic games and events, but will primarily be evenings, night and weekends.
