Job Description
Bard College seeks a Clerk to support all cashiering and student account functions in the Office of the Bursar. The Clerk is a key support in the work of Student Account Representatives, and provides assistance by processing transactions and communicating with students and guardians. A high level of professionalism and confidence in customer service is required. This is a full-time, non-exempt, 12 month per year position reporting to the Bursar. This office provides service to 1000 - 1500 students per month via phone calls, in-person traffic and email correspondence. This position requires attention to detail in a fast-paced, ever-changing environment. Bard College’s main campus is in Annandale-on-Hudson, N.Y., with 1,900 undergraduate students; the College also includes multiple graduate programs. The 1,000-acre campus sits along the Hudson River and offers the Fisher Performing Arts Center, and Hessel Museum of Art, and is the home of the Bard Prison Initiative, the largest college-degree-granting prison education program in the U.S. The Bard Network also includes several Bard High School Early Colleges across the country as well as international campuses and partnerships. Essential Duties
- Support all cashiering and student account functions including the processing of online payment transactions plus cash and checks in person and by way of mail for students and their family members.
- Complete daily departmental functions, including but not limited to payments for replacement ID and key payments, Flex fund payments, FERPA submissions, and account holds.
- Process scholarship and third-party payments.
- Daily balancing and settlement of online cashier sessions and Flex accounts.
- Support Student Accounts staff with processing of payment reversals, returned paper and electronic checks, and communicating accordingly with impacted students, faculty or staff.
- Support all office activities including scanning, filing and mailing while maintaining records, files, and documentation.
- Provide quality customer service and professionalism to all customers, co-workers, students, faculty and staff.
- Respond to internal and external inquiries regarding student billing via multiple modes of communication (face to face, phone, and email).
- Participate in student orientation events as needed.
- Assist with collection efforts as needed.
- Apply college policies and procedures, federal and/or state laws and regulations regarding financial aid and cash management/Bursar functions, and confidentiality regulations as needed in the course of official duties.
- Other duties as assigned.
Qualifications
- Strong communication abilities, including written and verbal communication.
- Ability to work with confidential information and to communicate with patience, tact, and professionalism while handling customer situations.
- Problem-solving and decision-making skills.
- Computer skills including data entry, website navigation, and Google Workspace programs.
- Detail-oriented, organized and the ability to multitask in a fast-paced office environment.
- Ability to learn quickly from oral and written instructions and from demonstrations.
- Previous experience in a college environment and/or in customer service is a plus.
Work Environment
- Work is performed in a small office setting that may be, at times, noisy and busy with multiple interruptions from walk-in clients and other staff.
Physical Requirements
- Must be able to sit for extended periods of time and work in a standard office environment.
- Must be able to occasionally lift 20 pounds.
- Must be able to work 2 to 4 Saturdays a year and occasional evenings as needed.
