Position Summary
This position provides clerical and/or support duties to the departments within the Educational Partnerships Office. These responsibilities include routine office functions; processing billing; tuition collection; communication with students, HS district staff, parents, and Brookdale faculty; maintaining accurate records; and budget maintenance and tracking.
Description of Duties
Data Maintenance
- Maintain databases for the Dual Enrollment, Early College, Middle College, and College Readiness Programs to track student enrollment, registration activities, progress, degree completion, etc.
Billing & Payment
- Prepare and mail tuition bills for Dual Enrollment, Middle College, and Early College High School programs. Work with Finance on any billing issues for College Readiness programs.
- Monitor tuition payments for Dual Enrollment, Middle College, and Early College High School programs. Follow up with appropriate students, parents, and HS officials when there are payment issues.
Collaboration
- Work closely with the Admissions Office, Accounts Receivable, Enrollment Services, Finance and Operations, and the Registrar’s Office regarding applications, tuition payments, registration and student IDs.
Customer Service
- Act as the first point of contact with parent inquiries and concerns.
- Answer phone and email inquiries from constituents. Refer calls and questions of a complex nature, when necessary, to other departments and services across the campus.
- Demonstrate outstanding customer service and maintain broad knowledge about the College, specifically all High School Partnerships, to be able to respond accurately to inquiries, resolving routine problems and questions.
- Respond to specific and or general inquiries from students, parents, staff or the public regarding the college or college procedures, while utilizing sound judgment, discretion and confidentiality.
Reports & Record-Keeping
- Prepare enrollment reports for Dual Enrollment /Fast Start.
- Utilize Microsoft Access, Word, and Excel on a daily basis for record-keeping, data management, and enrollment reports.
Other Duties and Responsibilities
- Be knowledgeable in FERPA guidelines, as well as Buckley Amendment and other appropriate policies and regulations related to student privacy and/or rights.
- Maintain main office operations, open, sort and distribute mail, prepare mailings as required, post and/or record information consistent with established guidelines, maintain the calendar, operate routine office machines, maintain appropriate files and records for academic administration, finances and other related documents.
- Maintain inventory and distribute supplies.
- Answer telephones, resolve problems where possible and/or refer as appropriate.
- Maintain records and files and update student records as needed.
- Perform other related duties as directed.
Minimum Qualifications
Education:
- Associates Degree or equivalent professional experience required.
Experience:
- Two years of related experience with a proven ability to work effectively with students of varying ages and diverse backgrounds.
Knowledge/Skills/Abilities:
- Proven computer literacy skills at an intermediate level with a willingness to learn specific and specialized programs essential to the learning process.
- Computer literacy skills at an intermediate level with the demonstrated ability to utilize and apply Microsoft Office Outlook, Word, Excel, and PowerPoint as well as specialized software programs and computer applications.
- Excellent written communication skills
- Excellent verbal communication skills required to clearly communicate ideas to varied audiences.
- Strong working knowledge of and experience using Microsoft ACCESS
- Strong interpersonal and organizational skills with the ability to develop working relationships with students and all staff constituents.
- Cultivate strong working relationships across departments and with HS partners.
- Ability to provide website maintenance is preferred.
Job Type: Full-time
Pay: $43,655.00 per year

Ability to commute/relocate:
- Lincroft, NJ: Reliably commute or planning to relocate before starting work (Required)
Experience:
- Fundraising: 1 year (Preferred)
