GENERAL STATEMENT OF RESPONSIBILITIES:
The Clerk VI position will provide efficient and professional administrative support to the Aviation Maintenance Technology Program at the College's Hangar location in Plymouth, Massachusetts. This position requires strong administrative office skills and experience, including a high level of organization, excellent communication, interpersonal, computer and problem solving skills, flexibility, and the ability to cooperate with others in a complex and varied environment. The ability to be self-directed is required as is the ability to maintain confidentiality in day-to-day office operations.
EXAMPLES OF DUTIES:
- Provide general administrative and clerical support including mailing, scanning, faxing, copying, and scheduling for the AMT Program.
- Manage communication, including answering phone, responding to email and providing exceptional customer service assistance to students, staff, the community and local business organizations.
- Maintain office supply inventory, submit, and track office supply orders, inventory and usage for AMT Program.
- Maintain and update various student and marketing databases including student attendance tracking and records for the FAA.
- Prepare and modify documents including correspondence, report drafts, memos, and emails.
- Plan and respond to various educational related inquiries, both external and internal.
- Provide coverage of the reception area as needed.
- Record minutes at staff meetings.
- Prepare classrooms for testing, orientations, tours and course meetings.
- Call current and potential students to provide informational updates.
- Maintain and organize faculty and staff time sheets.
- Create targeted lists for mailings and marketing efforts.
- Assist in the day-to-day coordination of aviation classes including ordering books, scheduling rooms, creating sign-in sheets, answering student inquiries and phone calls.
- Develop and maintain good working relationships with all relevant partners, agencies, and internal and external stakeholders.
- Be available for evening coverage when necessary.
Job Requirements:*
MINIMUM QUALIFICATIONS:*
1. (A) Five years full-time, or equivalent part-time, office experience of which (B) at least two years must be in a supervisory or administrative capacity, at an educational institution or (C) any equivalent combination of the required experience and the following substitutions:
I. A diploma as evidence of graduation from the commercial or business course of a recognized high school or vocational/technical high school may be substituted for a maximum of one year of the required (A) experience\*
II. A diploma as evidence of graduation from a course other than the commercial or business course of a recognized high school or vocational/technical high school or possession of a Massachusetts high school equivalency certificate may be substituted for a maximum of eight months of the required (A) experience\*
III. A diploma for completion of a one-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of one year of the required (A) experience\*
IV. A diploma for completion of a two-year, full-time, or equivalent part-time, program in a recognized, non-degree granting business or secretarial school above the high school level may be substituted for a maximum of two years of the required (A) experience\*
- Education toward such a degree or diploma will be prorated based on the proportion of the requirements actually completed.
2. Excellent human relations and customer service skills.
3. Enthusiasm for working effectively with a diverse population of students, administrators, faculty and the public including local business organizations.
4. Strong administrative office skills and experience.
5. High level of organizational and communication skills with the ability to work independently, prioritize projects and pay close attention to detail.
6. Proficiency in use of Microsoft 365 Office Suite, specifically Word, Excel, and Outlook, including but not be limited to, Word and Excel document creation and manipulation and mail merges and website changes.
7. Ability to communicate clearly and effectively, both orally and in writing.
8. Ability to organize and support campus events including planning, hosting, and supporting functions of an event when assigned.
9. Ability to record and distribute meeting notices, meeting minutes, job fair notices, etc., as directed.
10. Ability to adapt to challenges and changing demands occurring within the aviation field.
11. Willingness to be flexible in work schedule, including occasional evenings and weekends, to meet the needs of students.
ADDITIONAL PREFERRED QUALIFICATIONS:
1. Associate or higher degree with a major in business administration, business management or public administration.
2. Experience with Adobe InDesign.
3. Commitment to the community college philosophy.
4. Experience, an appreciation for, and commitment to working in a global, multicultural academic setting.
5. Experience with Moodle Learning Management System.
6. Ability to maintain the website for Aviation Maintenance Technology Certificate Programs.
7. Experience with an Aviation Training Facility.
8. Possession of valid driver's license and access to a vehicle.

Additional Information:**
COMPENSATION*: Full-time, benefited AFSCME Unit Position - Job Grade 16 - Step I with weekly salary of $959.58. Candidates may qualify for placement above entry-level salary if currently employed in the State system.
